Job Description

The Administration Team Leader will be responsible for the HR Administration team, all policies and procedures and is responsible for the compliance of the department’s administration. The Team Leader will provide accurate and efficient HR administration and an HR inbox query handling service by coordinating the team’s daily work tasks, identifying opportunities for improving processes and developing the team of HR Administrators. This role reports directly to the HR Director.

The Team Leader will delegate and monitor daily work tasks, ensuring tasks are carried out to a high standard and completed in a timely manner. The Team Leader will act as escalation point for HR Administrators, assisting with query resolution and carry out regular team meetings and conduct 1:1s.

The Team Leader will be responsible for the Employee Administration Cycle Duties: to prepare, distribute and coordinate all aspects of employee administration, from new starters to leavers including current employees: contracts of employment, inputting personal details, payroll changes within the monthly cycle, employee correspondence, leaver letters, severance agreements, reference requests, internal appointment confirmation, probation review process, leaver correspondence and calculations and other ad-hoc letter requests.

The post holder will ensure that statutory record keeping is in hand and the HR Department are ‘inspection ready’ at any time. The post holder will be expected to play a key role in inspections and is expected to fully understand the inspection regime which covers recruitment of Trustees, staff and volunteers. Items of concern and possible solutions need to be escalated and discussed with HR Director.

Whilst the responsibility of Pensions and Benefits fall within the Finance department, the HR Admin Team Leader needs to fully understand the benefits given so they can confidentiality advise employees on what is available.
